Biometric Attendance Machine Price in Kenya: Model-by-Model Comparison

Every fingerprint and face attendance terminal we stock, with its exact price, what it stores, how it connects, and which kind of workplace it suits.

By Giga Team Solutions · Updated · 9 min read

Biometric attendance machines in our shop range from KSh 9,000 for the ZKTeco K40 fingerprint clock to KSh 89,000 for the Suprema BioStation L2. Most small and medium Kenyan businesses end up somewhere between KSh 9,000 and KSh 21,000. The difference in price buys you face recognition, more storage, better fake-finger detection, weatherproofing or wireless connectivity, and it is worth knowing which of those you actually need before you pay for it.

This page compares the specific models we sell, using the specifications on each product listing. If you want the general picture first, how attendance systems work and what reports they produce, read our overview of biometric time attendance systems and come back here to pick a machine.

One honest note on the HID DigitalPersona: it is a desktop USB fingerprint reader, not a wall-mounted clock. It works with software on a computer, such as a payroll or HR package that supports it, or for fingerprint log-in. If your software vendor asks for a DigitalPersona reader, this is the one; if you want staff to clock in at the door, choose a terminal instead.

Which machine suits which workplace

Storage capacity is rarely the limit. Even the K40 holds 1,000 fingerprints. What decides the right machine is the kind of hands and faces at your site, whether the device also has to control a door, where it will be mounted, and whether there is a network to connect to.

SiteGood fitWhy
Shop, salon, clinic or small office with one entranceZKTeco K40, KSh 9,000Fingerprint only, simple USB or network download, and a built-in battery so it keeps logging during KPLC outages
Office where the same device should also lock the doorZKTeco F18, KSh 14,000, or Hikvision DS-K1T342MFX, KSh 21,000Both have lock control and exit-button inputs; see our one-door access control kit for the rest of the parts

Field teams, several sites, or no fixed networkZKTeco Horus E1-RFID, KSh 44,500Portable, battery powered, uploads over Wi-Fi or 4G; can record location where the positioning feature is enabled

Think about the queue as well as the headcount. If fifty people arrive within ten minutes of a 7:30 AM shift and each takes a couple of seconds to place a finger or face the camera, one machine will cope; if two hundred arrive in the same window, plan a second machine at a second entrance.

Fingerprint, face or card

Fingerprint is the cheapest way to stop buddy punching, where one employee clocks in for another. It struggles with workers whose prints are worn by cement, chemicals or manual work, and with wet or very dry fingers. Enrol two fingers per person so there is a fallback.

Face recognition is touch-free, quick at a busy entrance, and does not care about the state of someone's hands. The Hikvision terminal lists recognition from 0.3 to 1.5 metres and support for masked faces; the SpeedFace-V5L and Horus E1 list anti-spoofing against printed photos, videos and 3D masks. Mount face terminals out of direct sunlight, which can wash out the camera.

Cards and fobs are fast and cheap but can be lent, so on their own they do not prove who was present. Most terminals here accept cards as a backup for the few staff whose fingerprints will not read. Check the card frequency: EM 125 kHz and 13.56 MHz MIFARE cards are not interchangeable, and the BioStation L2 comes in separate EM and MIFARE versions.

Getting attendance into payroll

The machine records who verified and when. Turning that into hours, lateness and overtime is the job of the attendance software, and the output is usually an Excel or CSV report that your payroll package or accountant imports. Before buying, ask three questions:

  1. How will logs leave the machine? The K40 can download to a USB flash disk, which suits a single site with no network. Network terminals can be polled from a PC on the same network. The Horus E1 can upload over 4G or Wi-Fi from remote sites.
  2. Which software will you use? ZKTeco terminals work with ZKTeco's attendance software, and the listings for the Horus E1 name ZKBio Time and ZKBioSecurity. Suprema devices run on BioStar 2. Hikvision terminals are set up through their web client and Hikvision's platforms. Check licence costs for the larger platforms before you commit.
  3. What format does payroll accept? Ask your payroll provider which import format they take, then make sure the attendance software can produce it. This saves weeks of retyping.

Employment records and data protection

Under section 74 of the Employment Act, employers must keep employee records and produce them to a labour officer on request, and records covering the previous 36 months can be demanded. Attendance logs are useful evidence for that duty, but the Act does not require you to use a clock-in machine. Whatever system you choose, keep exported reports backed up for at least that period rather than relying only on the memory inside the terminal.

Fingerprints and face templates are personal data, so the Data Protection Act, 2019 applies to how you collect and keep them. As reported for workplace CCTV, the ODPC expects businesses to register where required and to tell people their data is being collected. In practice that means, in general:

  • Tell staff in writing what is captured, why, who can see it, and how long it is kept, before you enrol them.
  • Offer a non-biometric option such as a card or PIN for anyone who objects, which most of the terminals above support.
  • Limit who can export or view the data, and delete a person's templates when they leave.
  • Check whether your business must register as a data controller. The registration regulations (Legal Notice 265 of 2021) exempt businesses with turnover under KSh 5 million unless they process data for a purpose listed in the Third Schedule, so check the Third Schedule against what you do.

This is general information, not legal advice. If you are unsure, check with the ODPC or a lawyer.

What else to budget for

  • Power. The K40 and Horus E1 have batteries. Mains-powered terminals should be on a circuit with backup if you need them to log during outages; our UPS and backup power guide explains sizing.
  • Network cable from the terminal to your switch or router, unless you use USB download, Wi-Fi or 4G.
  • Cards or fobs for staff who cannot use biometrics.
  • Installation and setup. Mounting, enrolment and software setup are quoted separately. We install in Nairobi; elsewhere, terminals are delivered for a flat KSh 300 with cash on delivery, and for installation in your town, call or WhatsApp us to discuss your site.
